AI Use Policy
I. Purpose and Scope
This policy establishes guidelines for the appropriate and ethical use of Artificial Intelligence (AI) tools by staff, volunteers, and board members of Atheists United. AI should be treated as a collaborator, not an authority. All final decisions and content must ultimately be subject to human review and approval.
II. Prohibited Uses
AI tools must never be used for the following:
Sensitive and Confidential Information:
Do not input any of the following into an AI tool:
Personally identifying or confidential information;
Legal documents or contracts in their entirety;
Passwords or other security credentials;
Internal Board Proposals and Discussions;
Anything you wouldn’t paste into a public website.
Member Privacy:
Do not use photos of members or use images of people without obtaining explicit consent.
High-Risk Communication & Branding:
All public-facing communications must be human-created to ensure accuracy, tone, and prevent people from unsubscribing. This includes:
Social Media posts
Email Blasts
Final Website Content
Images, Logos, or Art/Posters intended for final use (AI inspiration is okay)
III. Permitted Use Cases (Subject to Human Review)
AI tools may be used for low-risk drafting, brainstorming, or summarizing, provided the output is verifiable.
Data Analysis:
Graphing, charts, and data crunching (provided no sensitive information is involved).
Drafting and Writing:
Policy Drafting (always review and edit)
Drafting Contracts, Policies & Procedures, and Employment Contracts
Note Taking / Board Minutes
Research and Development:
Internal Research
Brainstorming
Coding:
App development
Website components
Scripts
Automations
Publicly Available Information:
Handling publicly available information with AI tools that collect user data, is acceptable.
IV. General Guidelines and Oversight
When utilizing AI, users must adhere to the following mandatory guidelines:
Human Oversight:
Output from AI must undergo a mandatory human review.
All policies and major drafts must be approved by the board or executive-level staff.
Verification:
Ask for sources, address uncertainties, and double-check facts generated by AI.
Final Accountability:
Final accountability for all AI-related decisions rests with the board and Executive Director.
All significant decisions influenced by AI tools must be reviewed and approved by the board and staff.
